How do I view detailed data for activity on our site?

Overview

Findhelp’s dashboards provide both high-level and detailed views of a user’s personal activity, site activity, and analytics relating to program management. Our dashboards are designed to provide meaningful and insightful charts, images, and tables that are intended to be used directly on your site through the findhelp analytics interface. 

However, we understand that when it comes to some of the data available on your site(s), you and your organization may want to see detailed data to conduct additional analyses outside of the findhelp analytics interface. That is why we provide a few detailed reports that are intended to be used by exporting the data to conduct your own analysis outside of the findhelp analytics platform. These reports are the Site Referrals Details (PII) report and the Site Assessment Details (PII).

The Site Referral Details (PII) Report

The Site Referrals Details (PII)is a great dashboard to view details for all referrals and share activity that happens on your site(s).

Note

A group-based version of this report is available. This allows provisioned staff user to view this data for only their designated group(s)!

What are Referrals and Send Actions?

There are several ways a person can contact a program: 

  1. Clicking on a phone number, email, or website on the program card.
  2. Sharing program information
  3. Directly connecting with a program using the electronic referral button.

The Site Referrals Details (PII) report includes two tables. The Referral Details table includes detailed information on all referrals submitted on your site(s). In this table you can find the following information: 

  • Name, contact information, and unique ID for the person seeking services
  • Sender name and contact information
    Non-staff user referrals are anonymized to protect the privacy of the person seeking services
  • Details about the program that received the referral
  • When the referral was made
  • Current status of the referral
  • When the referral status was updated
  • Who updated the referral status

The Share Details table includes detailed information on shared activity that took place on your site(s). In this table you can find the following information: 

  • When the activity happened
  • Who sent the information
  • Who received the information
  • What program information was sent

The Site Assessment Details (PII) Report

For Enterprise customers only

Assessments are designed to help assess a person’s social needs in order to understand how to best help them. The assessment functionality is an optional feature available to Enterprise customers. If your organization is using assessments, understanding the information captured in assessments can help you and your organization use data to provide additional services, target your outreach in certain areas, or serve additional areas for your community.

The Site Assessment Details (PII) report provides the detailed information on all assessments submitted on your site(s) in a single table. In this table you can find the following information: 

  • Name, contact information, unique ID for person assessed
  • Submitter name and contact information
  • When the assessment was submitted
  • Each question and the corresponding answer
  • Date and time of the assessment submission

Note

A group-based version of this report is available. This allows provisioned staff user to view this data for only their designated group(s)!

Gaining Access to Detailed Reports

Your Site Administrator can grant access to these reports by adding the user to either the Aggregate and PII Reporting or PII Reporting groups. Once in either of those groups, the users can view referral details and assessment details, if applicable), for activity across the entire site(s).

The group-based versions of these reports are automatically available to provisioned staff users. The group-based versions look similar to the site-wide versions, but only contain data for their designated groups so as not to overshare information. 

Using Detailed Reports

Both the Site Referrals Details (PII) and Site Assessment Details (PII) reports only include large tables. The best way to use these reports is to download that data. 

 To download the data:

  1. Hover your mouse over the table.
  2. Click on the three lines in the upper right corner.
  3. Select Download Data.
